Terms of Participation at BAVSE Events
Effective: 14 May 2026
These terms govern participation in events organised by BAVSE Collective s.r.o. and form an integral part of registration for any event held under the BAVSE, BAVSE Experience, HealthHub or other BAVSE brands.
I. Organiser
The organiser of the events is BAVSE Collective s.r.o., registered office at Nad Rybníčky 840/17, Kunratice, 148 00 Prague 4, ID: 21932298, email: info@bavse.eu, phone: +420 723 907 747 (the "Organiser"). Some events may be co-organised with co-organisers and partners, who are always listed in the communication for the specific event.
II. Registration and tickets
1. Registration is done via the Luma platform (lu.ma) or other channels designated by the Organiser. 2. Participation requires a valid registration and, for paid events, payment of the entry fee. 3. A ticket is valid for one person and one entry. 4. The Organiser reserves the right to limit capacity and close registration once it is full.
III. Cancellation and ticket transfer
1. Paid tickets are non-refundable. The Organiser does not refund tickets when the participant is unable to attend. 2. A ticket is transferable to another person without the Organiser's consent. The participant must inform the Organiser of the change by emailing info@bavse.eu at least 24 hours before the event so the attendee list can be updated. 3. If the event is cancelled by the Organiser, the participant is entitled to a full refund or transfer of the ticket to an alternative date of their choice. 4. If the date, venue or programme is changed by the Organiser, the participant will be notified by email. This change is not grounds for a refund; the ticket remains valid.
IV. Photography and audiovisual recordings
1. The Organiser takes photographs and audiovisual recordings at its events (the "Recordings") for documentation, promotion, marketing, editorial content and other activities related to BAVSE. 2. By registering for and attending an event, the participant acknowledges and consents that Recordings will be taken which may capture their likeness, voice or other expressions of a personal nature. 3. The participant grants the Organiser a free, non-exclusive licence, unlimited in time and territory, to use the Recordings, in particular: • for publication on the Organiser's and its partners' websites, • for publication on social networks (Instagram, Facebook, LinkedIn, YouTube, TikTok and others), • for use in newsletters, press releases and editorial content, • for use in partner and sponsorship materials, • for use in podcasts and video formats (Tvoje volba, HealthHub and others) and within the BAVSE platform, • for use in marketing materials of the Organiser and its official partners, • for archiving and further processing without any time limit. 4. The Organiser does not provide the Recordings to third parties for their independent commercial use outside cooperation with the Organiser. Recordings may be used by official partners and co-organisers of the event, always in the context of cooperation with the Organiser. 5. If the participant does not wish to be captured in a specific Recording or requests removal of a specific published Recording, they may contact the Organiser at info@bavse.eu. The Organiser will assess the request in accordance with § 88 of Act No. 89/2012 Coll., the Civil Code, and take reasonable steps where the request is justified. The Organiser is not obliged to remove Recordings already distributed or published by third parties (shares, reposts) unless those parties are under its direct control. 6. Consent to the recording and use of Recordings is granted under §§ 84–90 of Act No. 89/2012 Coll., the Civil Code, and Art. 6(1)(a) and (f) of EU Regulation 2016/679 (GDPR).
V. Personal data protection
1. When registering for an event, the Organiser processes the participant's personal data (first name, last name, email, and any other data provided during registration) to the extent necessary for organising the event and communicating with the participant. 2. The legal basis for processing is performance of a contract under Art. 6(1)(b) GDPR (event organisation, ticket delivery, event information) and the Organiser's legitimate interest under Art. 6(1)(f) GDPR (event operation, safety, documentation). 3. Personal data is retained for the time necessary for event organisation and subsequent administration, no longer than 3 years from the event. 4. When registering via the Luma platform (luma.com), personal data is also processed by Luma AI, Inc. (USA) as a processor. Transfers outside the EU are covered by Standard Contractual Clauses (SCCs). The participant has all rights under the GDPR — access, rectification, erasure, restriction of processing, objection, portability and the right to lodge a complaint with the Czech Data Protection Authority (uoou.cz). VI. Participation and conduct
1. The participant is required to follow the instructions of the Organiser and the venue staff. 2. The Organiser reserves the right to refuse entry or expel from the event any person who: • is under the influence of alcohol or other intoxicating substances beyond normal consumption within the event, • behaves aggressively, disrupts the event or endangers other participants, • violates the Organiser's instructions or the venue's rules, • does not have a valid registration or ticket. 3. If expelled from the event, the participant is not entitled to a refund.
VII. Health responsibility
1. The participant attends the event at their own responsibility and declares that their health condition permits participation in the event and its activities (especially events involving physical activity, breathing exercises, meditation, food and drink tastings, and other wellness activities). 2. The Organiser is not liable for any health harm arising from the participant's concealment or misrepresentation of their health status, nor for damage caused by failure to follow instructions of the Organiser or instructors. 3. For events on nutrition, dietary supplements, mental health, psychedelics or other specialised topics, the content is informational and educational and does not replace professional medical, psychological or other specialised consultation. Any decision regarding the participant's own health is made at their own responsibility.
VIII. Limitation of liability
1. The Organiser is liable for damage caused to the participant in accordance with the Civil Code. 2. The Organiser is not liable for damage to the participant's personal belongings at the event unless demonstrably caused by the Organiser or persons for whom the Organiser is responsible. 3. The Organiser is not liable for the content and quality of presentations by external speakers, instructors and partners, but ensures they are selected with regard to quality and relevance to the event topic.
IX. Final provisions
1. These terms are governed by the law of the Czech Republic, in particular Act No. 89/2012 Coll., the Civil Code, and EU Regulation 2016/679 (GDPR). 2. Any disputes will be resolved primarily by agreement. If agreement cannot be reached, the competent Czech court has jurisdiction. 3. The Organiser reserves the right to amend these terms at any time. Registrations already made are governed by the terms in effect at the time of registration. 4. By registering for the event the participant confirms that they have read and agree to these terms.
